Registering for an Event

What is an Event

An Event is a gathering arranged by the Social Committee.  Examples include tours, cocktail parties and the annual Dinner/ Dance.  All members receive email announcements to these Events.  Members need to register for these and when payment is required it is usually by credit card online the website or APP but occasionally by cheque.  The payment type is described in the Event posting.

How to Register

When online registration is enabled, you can register for an event from your computer, tablet, or mobile device. There are 3 ways to register: 

1.  Via email - you will receive an email when on-line registration is enabled.   Click on the green "Register" button to begin the registration process.  You need to be logged in to our website in order for this button to work.  If you click on the register button and nothing happens, go out of your email, log in to gatewayprobus.ca, leave the website logged in and then go back into your email and click on the green register button again.  



2.   By going to our Club website http://gatewayprobus.ca on your computer, tablet, or phone.  

Once you are at the website, click on either "Events" on the top menu bar, or "Calendar" on the right.


3.  By using the Wild Apricot Mobile App (which can be downloaded to your phone or tablet).  

                                     

Regardless of which electronic device you use, or how you chose to register, begin the process by finding the event you want to register for and clicking the green register button.  


If you are not logged into our website, http://gatewayprobus.ca  you will be asked to login before going any further. 


Once you have clicked on the green "Register" button, and are logged in, you will be asked to:

  • Enter registrant email.  If you are registering for yourself your email will already be filled in.  If you are registering for another member, enter their email.  Click "Next".  
  •  Enter registration information if it does not appear.  If the information is already in our database, it will self-populate.   If you would like your name visible to others who have registered for the same event, check the box beside the words "Include name in list of event registrants".  Click "Next"
  • Review and Confirm.  If the event is free, you will be asked to either click "Confirm", indicating information is correct, or to click "back" so that you can go back and make corrections.   If there is a cost to the event, you will be asked to click the green "pay online" button and will be directed to a screen asking for your credit card information.  Once you submit your credit card information,  you will receive an event confirmation receipt.  

Registering an additional member or guest for an event


Depending upon how the event has been set up, you may be able to register an additional member or guest.  If the event is free, you may be able to click on the green "Return to Event" button on the confirmation receipt and begin the process again.  When you are asked to "Enter registrant email", enter the email of the person you want to register.  The email of the person you are registering cannot be the same as your own and must be in our system.  If you and your spouse share an email, be sure to append ".shared"  to the end of your email. 

Sometimes, guests are permitted at PROBUS events and if so, you may only be asked to enter the number of guests you are bringing.  If there is a charge for the event, you will be asked to pay for all guests you have registered.  

If you want to register more than one member for an event, you must register one member at a time.  That means you will have as many credit card charges as members that you register.  

Registration Confirmation

Make sure to follow the multiple clicks to complete the registration and/ or payment.  You will receive a confirmation email when you are fully registered.  If you do not receive an email, then you are not fully registered.  When payment is required, a registration is not considered complete until payment is made.  

How to Add Yourself to the Waitlist

Sometimes our events fill up quickly.  If that happens, often there is an option to join the waitlist.  We recommend that if you are interested in attending, that you add your name to the waitlist.  A green button saying, "Join Waitlist" will pop up when you attempt to register.  Click on that and confirm by licking "next" and "next".  

You should always go on the waitlist if it is offered.  The organizers monitor the waitlist and sometimes can add more spaces or book a second event by knowing the number of members who want to attend. Usually the waitlist members are given the first option to register when this happens.  

If you are on the waitlist and can no longer attend the event if offered, you can email the organizer or gatewayprobusevents@gmail.com to advise of such.  

How to Cancel Event Registration

If you have paid for an event and are no longer able to attend, email the organizer to advise of such.  If you cannot locate the organizer information, email gatewayprobusevents@gmail.com and someone from the Club can advise you of the organizer name and contact email.  See below for our refund policy. 

If the event is unpaid, it is still very important to cancel your registration as soon as you are aware you cannot attend the event.  There are three ways to do this: 


1. Using the Website.  


 There are two ways to cancel your registration using the website.

 Click on the Upcoming Events menu or update  your profile.


a) Find the event you wish to cancel in the list of Upcoming Events and click on the that event. 

Click on "Already registered".

You will see your "Registration form".  Click on "Cancel Registration" to the right of the registration form.  You will then see a question, "Are you sure you want to cancel your registration?" Either click the "cancel registration" button to cancel or "close" to not cancel. Make sure to follow the instructions completely through to ensure you have cancelled properly. 


OR

b) Click on "My profile".  Select "My Event Registrations".  Scroll down and select the Event you no longer want to attend and click on the word "confirmed" under "Status".  You will see your "Registration form".  Click on "Cancel Registration" to the right of the registration form.  You will then see a question, "Are you sure you want to cancel your registration?" Either click the "cancel registration" button to cancel or "close" to not cancel. Make sure to follow the instructions completely through to ensure you have cancelled properly. 

2.  From the APP, go to My Tickets at the bottom of the screen.  Click on the event you need to cancel.  In the Overview tab, your registration will be displayed with a Cancel button in the middle of the screen. Click on that button and confirm the cancellation.  

3.  Email the organizer as soon as you know that will not be able to attend.  If you are unable to find the organizer name, email gatewayprobusevents@gmail.com and someone from the Club will provide you with the name and contact for the organizer.  

Can you get a refund if you need to cancel?

Generally, refunds are not given. The primary reason for this is that event organizers frequently make a non-refundable financial commitment to secure an event and need revenue from ticket sales from members to cover this.  If a member has paid for an event and finds they can’t attend, the member is encouraged to check with the event organizer to see if there is a waiting list.  If there is, the member can approach someone on the list and make a private sale.  Otherwise, a member may also privately sell their ticket to another member. 

If there are extenuating circumstances such as a serious medical issue, death, or a catastrophic event, the event organizer should be contacted to determine if a refund can be made.  The Social Committee Chair(s) make the final decision on refunds. Refunds will be considered on a case by case basis.   

Is there a way I can check to see what events I have already registered for?

On the Website:

There are 3 ways to check and see what you've already registered for:

1.  Go to "My Profile"" in the top right hand corner of your screen.

Click on "My event registrations" and a list of events you have registered for will appear.

2.  Go to the description of the event (either by clicking on "Events" in the top menu or "Calendar" on the right.  If you have already registered for an event, the words "Already registered" will appear under the green "Register"   button.

3.  If you have downloaded the mobile app,  click on "My tickets" and a list of the events you have registered for will appear.
